Problem Statement

Over time, the client’s shared mailbox had evolved into a serious operational and compliance liability. With more than 15 years of undeletable email history and a constant inflow of new messages, it had become a source of daily frustration, inefficiency, and risk.

Manual Burden
Staff spent excessive time classifying, forwarding, and reporting emails manually. Even basic actions, such as opening a folder, could take over 10 minutes, slowing down daily operations and increasing fatigue.
System Instability
Containing 5,000–10,000 folders, the mailbox frequently caused Outlook to freeze or fail to send/receive messages, disrupting communication and delaying responses across departments.
Compliance Bottleneck
Although deleting outdated emails was technically possible, every record required individual verification to ensure it wasn’t under legal hold. This manual review process proved unmanageable, leaving teams unable to reduce mailbox size or meet retention policies.

Our Solution

Phase I — Monthly Archiving & Cleanup

The first objective was to restore mailbox stability and eliminate the operational strain caused by excessive data volume. AiFA Labs introduced a monthly automated archiving process built on Azure Logic Apps, which identified and archived all emails older than six months.

Each message was preserved in .EML format with a matching JSON file capturing all metadata and stored securely in immutable Azure Blob Storage — ensuring long-term data fidelity, auditability, and compliance.

Once validated, these archived emails were safely removed from Outlook, reducing mailbox size by 80–90% and significantly improving performance.
