While deleting old records was technically possible, each message had to be manually verified to ensure it wasn’t subject to a legal hold — a time-consuming and error-prone process. The system had become unstable, with slow searches, frequent freezes, and performance issues that severely impacted productivity. Meanwhile, a constant influx of daily emails continued to increase storage demands and manual workload, leaving teams struggling to maintain efficiency and compliance.

Over time, the client’s shared mailbox had evolved into a serious operational and compliance liability. With more than 15 years of undeletable email history and a constant inflow of new messages, it had become a source of daily frustration, inefficiency, and risk.
Cumulatively, these issues created a severe performance bottleneck and a growing compliance challenge, signaling the urgent need for an automated, AI-driven modernization strategy.
Our Solution
Phase I — Monthly Archiving & Cleanup
The first objective was to restore mailbox stability and eliminate the operational strain caused by excessive data volume. AiFA Labs introduced a monthly automated archiving process built on Azure Logic Apps, which identified and archived all emails older than six months.
Each message was preserved in .EML format with a matching JSON file capturing all metadata and stored securely in immutable Azure Blob Storage — ensuring long-term data fidelity, auditability, and compliance.
Once validated, these archived emails were safely removed from Outlook, reducing mailbox size by 80–90% and significantly improving performance. Folder structures became manageable, Outlook responsiveness increased, and staff could work without frequent freezes or send/receive failures. This phase established a sustainable baseline for stability, setting the stage for full automation and AI-driven efficiency.
Phase II — Continuous Sync & AI Workspace
Building on the stabilized foundation, the second phase introduced continuous synchronization of all new incoming emails into the Azure archive — eliminating batch delays and ensuring the system always stayed current.
